Duties

Under the supervision of the Head of Collection Services, the Vault Reconciliation Assistant will assist with consolidating, reorganizing, re-housing, scanning, and assigning locations to audio/visual film and video elements within Collections. They will also have an opportunity to sort, identify, inspect, and assess collection(s) which may include 8mm, 16mm, or 35mm film and/or multiple video elements.

The Vault Reconciliation Assistant will be trained in the basics of vault organization and logistical planning as well as opportunities for film handling, including condition checks, and winding. Project tasks include physically moving, organizing, and scanning audio/visual film and video elements within Collections. Some tasks include handling and winding through film elements to obtain and enter information into the Archive’s FileMaker Pro asset management database utilizing established archival protocols. Data found will be used to facilitate formal MARC cataloging and eventual online public access to collections information. Other duties may include assisting with other Collections related projects.

There will be two Vault Reconciliation Assistant positions available over the summer for a total of 320 hours each.

and Knowledge

  • Careful attention to detail and ability to work independently when necessary.

  • Ability to initiate and maintain cooperative working relationships with co-workers, supervisors, and managers.

  • Ability to follow directions from supervisors.

Preferred Skills
and Knowledge

 

  • Experience with data entry and database use, particularly FileMaker.

  • Familiarity with common film and video formats.

  • Manual dexterity and ability to lift and carry boxes weighing up to 40 lbs.

  • Basic handling and inspection skills for multiple types of physical media.

  • Knowledge of moving images and general cataloging practice and familiarity with descriptive standards.

Comments

The Vault Reconciliation Assistant position is available to UCLA and non-UCLA students and must be filled by a Graduate student.
