While its software is developed by UCLA, Opus is also integrated with a third-party system, Interfolio. In general, the University Librarian will interact exclusively with Interfolio to review cases for peer review.

Step-by-Step Guide: Peer Review for the UL

The following guide outlines Opus peer review steps from the University Librarian's perspective for performance cases.

 


 

When to Start

Case Ready Email

Once a case is ready for University Librarian Review, you will get an email notification prompting you to view the case.

 


 

How to Log In to Interfolio

(warning) Interfolio has compatibility issues with Internet Explorer. Please use the most updated versions of Google Chrome or Mozilla Firefox. If you are experiencing blank pages, forms, or buttons that do not work you may need to update your browser or delete old files out of your cookies and/or cache.

 

 1. Click "Review Candidate" in email prompt to get to Interfolio

 

 2. Click "Partner Institution"

(warning) Disregard the default log in screen. Because we're UCLA, we must log in as a Partner Institution.


 3. Search for and select "University of California-Los Angeles"

 


 4. Click "Sign In"

 


 5. Log in with your UCLA Logon ID and password

(warning) This Shibboleth login screen may not appear if you've logged in recently.

 

 


 

How to View Candidate's Packet

 1. On the Navigation menu, click "Cases" to go to your Case List


 2. Click on the candidate's name to open the case

 


 3. Click "Read Case" to view entire packet

(warning) This will take you to the document viewer that will allow you review each uploaded document.


 4. Once review is done, click "Return to Case"

 

 

 


 

How to View Action Summary Report

 1. Click on "Case Options" and select "View Candidate Info"

 


 2. Review the action summary report and then close the window to return to case

 

 

 


 

How to Download Packet

(star) Optional. Only download if you wish to review packets offline.

 

 1. Click "Read Case" to get to the document viewer

 


 2. Click "Download" then click "Document Packet" from the dropdown

 

 

 3. Click "Select All" for all documents and then click "Download PDF"

 

 4. Confirm that your download has been requested

 

 5. Go to the email from Interfolio and click "Get Documents"

 

(star) The link will take you directly to Interfolio but it may ask you to log back in again.

 

 6. Packet will download automatically

 

 


 

How to Log Final Decision

 1. Click on "Case Options" and select "View Candidate Info"

(star) This will take you back to the Peer Review (or Appointment) Action Summary Report where you can log your decision.

 

 2. Click "Edit Responses"

(warning) Two questions are left blank on the Peer Review (or Appointment) Action Summary Report for the UL to fill out.


 3. Fill out the "UL Decision" and "Final Action" fields on the form then click "Save"

(warning) After you click "Save", you will be routed to the Case Information page instead of the case.


 4. Click on the candidate's name in breadcrumbs to return to case

(warning) Return to case so that you can move the case forward to LHR for closing.


 


 

How to Move Case Forward

 1. Click "Send Case" and select "Forward to" if there are no issues with the case

(warning) If there are issues with the uploaded documents and you need further clarification, DO NOT send this case forward. Please work with LHR to get the clarification you need.

 

 2. Uncheck the "Send a message..." box

 

(warning) Interfolio defaults to checking this box. You don't need to send a message to move this case forward.


 3. Click "Continue" to move case forward to LHR

 

(warning) After this step, simply log out and you're done.


 

(red star) This case will move forward to LHR for closing.
