Duties

Under supervision of the Head of Collections, the Jr. Collections Assistant will assist with consolidating, reorganizing, re-housing, scanning and assigning locations to audio/visual film and video elements within Collections. They will have an opportunity to sort, identify, inspect and assess collection(s) which may include 8mm, 16mm or 35mm film and/or multiple video elements. The Jr. Collections Assistant will also assist with processing the Fuhs VHS Collection. They will sort, research, assess and determine archival value of this large and potentially unique collection video collection. The Jr. Collections Assistant will fulfill various duties across each shift depending on assignment and role as determined in advance by the Head of Collections.



The Jr. Collections Assistant will be trained in the basics of vault organization and logistical planning as well as opportunities for film handling, including film preparation, condition checks, and winding. The Jr. Collections Assistant will be trained to use our Processing Database and UC Library Search to research titles, assess archival value and prioritize items to facilitate formal MARC cataloging and eventual online public access to collections information. They will also have an opportunity to learn about vault organization and logistical planning as well as the basics of film handling, including film preparation, condition checks, and winding. Job duties will change from assignment to assignment depending on where the work load goes on that particular week/month.



Project tasks include physically moving, organizing, and scanning audio/visual film and video elements within Collections. Some tasks include handling and winding through film elements to obtain and enter information into the Archive’s FileMaker Pro asset management database utilizing established archival protocols. Other tasks include entering information into the Archive’s FileMaker Pro asset management database utilizing established archival protocols. adhering unique barcodes, assigning permanent location stickering, vaulting and error checks.

Data found will be used to facilitate formal MARC cataloging and eventual online public access to collections information.  Other duties may include assisting with other Collections related projects.

The Jr. Collections Assistant position is only available to UCLA students only and must be filled by a Graduate student. Graduate student with work study funding for the 2023-2024 academic year preferred.
