Slack Migration Information - July 21, 2021

Overview

At 5:00 PM on Wednesday, , the UCLA Library Slack workspace (uclalibrary.slack.com) will migrate to the UCLA Slack Enterprise Grid, which is a collection of UCLA-affiliated Slack workspaces.

A small team of DIIT staff are working with colleagues in UCLA IT Services to complete this migration project.

Migration Process

At 5pm on , all members will be automatically signed out of the UCLA Library Slack workspace and it will be unavailable for approximately 2 hours.

After the migration is complete, members can sign back in using their UCLA Logon ID.

Official UCLA Email

You may confirm what your official UCLA e-mail is by logging into accounts.iam.ucla.edu. This system displays your official UCLA e-mail and allows you to /wiki/spaces/TDG/pages/43506471 if you want.

For your user account and all of your conversations and files to migrate, your email address in Slack must match your official UCLA email. We will be reaching out to any member whose email does not match and direct them to these instructions so they can update their email: /wiki/spaces/TDG/pages/43506471.

If you do not receive a message about updating your email, then your account is ready for the migration.

Expected Changes

We cannot anticipate all changes that will occur after the migration, but we do not expect any changes to prevent any existing workflows.

Authentication

The method of authentication will change to UCLA Logon ID instead of email+password.

Direct Messages

DMs will be grid-wide, so that you can search for anyone at UCLA, and those you have recently DM'd will show up on any workspace you have joined. Channels, however, will be workspace-specific.

Guest Accounts

Only active students, staff, and faculty will be able to authenticate with their UCLA Logon IDs. Former staff, retirees, emeriti, etc, will need to be converted to a guest account in order to migrate.

All guests will be required to enable Slack's 2-factor authentication.

In the past, it was possible to share a link to Slack content publicly. After the migration, this will not be possible, and you will only be able to share within the UCLA grid.

Custom emoji

Members will no longer be able to upload custom emoji, but existing custom emoji will remain.

Q: Will Giphy still be available?
A: Yes

Q: Can we join other workspaces at UCLA?
A: It depends, each workspace can choose how they accept new members. An invitation may be required. Everyone is automatically invited to the primary UCLA Slack workspace.

Q: Will messages with people that have left or retired still be accessible?
A: We believe they will be accessible, but if there is important information in Slack we highly recommend it be copied elsewhere.

Q: What happens if my email doesn't match on the day of migration?
A: Your account will be deactivated and will not migrate. You will still be able to log in, but it will be with a brand-new account that will not have access to your previous DMs.

Q: Will my message history remain after the migration? I want to see the messages I sent to people in the past.
A: Yes. Your message history will remain after the migration.

Q: Will this affect my ability to go between multiple Slack workspaces?
A: No, you can still be signed into multiple workspaces simultaneously, including outside of UCLA, within the Slack app.

Q: Are previously attached files going to be migrated, and how long will they stay?
A: Yes, files will be migrated, and the retention period will remain the same (2 years).

Q: How often will I have to log back into Slack?
A: We cannot say precisely, but the experience should be similar to what it is now. You should remain logged in to Slack perpetually on your devices unless you purposefully log out.
