How to join a DTEN Meeting
For Desktops/Laptops/Mobile:
- You have a Meeting ID? Yay! Please launch your Zoom App or join in a browser (https://zoom.us/join) and enter the Meeting ID. The DTEN Meeting Host will let you in, once she/he's ready.
- You have the Meeting Room link? Please click on it and wait for the DTEN meeting Host to let you in.
- You don't have the Meeting Room link but you know in which location the Meeting is happening? Here's the list of DTEN Meeting Rooms with the Meeting Room links: List of DTENs in the Library /wiki/spaces/LITKB/pages/39149880.
For DTENs:
- The quickest way is to tap on Join, enter the Meeting ID, and tap Join.
- If you try to join through the Contacts, it will actually start another Meeting and ask the current DTEN Meeting to join.
- The other way is to get invited by the Host. A window will open and you only need to tap on Accept to get into the Meeting:
How to host a DTEN Meeting
Simply start a meeting on a DTEN by tapping on New Meeting. The Meeting will start, and the Room will be displayed in the Contacts as "red" (meaning, in a Meeting).
How to invite people to a DTEN Meeting
A few ways:
- Share the DTEN Meeting ID to participants through any channel you want (text message, email, Slack, voice).
- Share the Meeting Room link (list of Rooms here), and ask participants to click on it when the Meeting is scheduled for.
- Start the Meeting, and invite people:
- Tap on the 3 dots and More at the bottom right of the screen.
- Tap on Manage Participants.
- Tap on Invite at the bottom left of the screen.
- Start typing the person or room name and select the ones you want.
- You can also tap on Email and email participants directly.
Note on the last picture that in order to see the Invite button, it is necessary to move the on-screen keyboard by drag and dropping it above! (which is why I recommend sharing Meeting IDs, it's just easier)
Where in the world is the DTEN Meeting ID?
It is located at the top left of the Meeting, by tapping on the little green shield displayed there:
It will open a pop up that will look like this:
You can now see the Meeting ID and share it.
How to co-host and change host settings of a DTEN Meeting
- Start a Meeting by tapping on New Meeting.
- Tap on the 3 dots and More at the bottom right of the screen.
- Tap on Manage Participants.
- Tap on the arrow next to the person/DTEN you want to have co-host or host the Meeting.
- Select the option you'd like.
Note: if you choose Remove, the person/DTEN will be kicked out and won't be allowed to join back the Meeting.
How to share content without starting a DTEN Meeting
To share your screen with a DTEN device:
- Tap on Share Screen on the DTEN; this will display a Share Screen window with information.
- On your laptop/desktop, using the Zoom App, please click on Share Screen and type the Sharing Key provided in step one.
- If you are using a browser, you will need to go to share.zoom.us, enter the Meeting ID and finally, the Passcode.
- On your phone/tablet, connect to the Wi-Fi network provided.
- Tap Screen Mirroring.
- Choose the DTEN name provided (for instance, "Library CLICC Classroom B").
- Enter passcode provided.
How to allow people to share screen
It is OFF by default.
In a Meeting:
- Tap on the 3 dots and More at the bottom right of the screen.
- Tap on Security.
- Tap on the button and toggle Share Screen to On.
Note: as far as I could test, there are no granular ways to only allow certain Participants to share. It's either the Host, or All.
How to join a Meeting initiated by a remote person, with a DTEN
To join a Meeting initiated by a remote person:
- The remote person shares the Meeting ID to the people using the DTEN.
- The people using the DTEN tap Join.
- The people using the DTEN enter the Meeting ID and tap join.
How to share a Whiteboard in a Meeting
TBD (it is off for now)Due to security and privacy issues at the campus level, we do not have this feature yet.
